Job Description: An Event Setup Lead is responsible for overseeing the setup and teardown of event spaces, ensuring that all elements are executed according to specifications and timelines.

  • Collaborate with event planners and organizers to understand event requirements, including layout designs, equipment needs, and timelines.
  • Lead a team of event setup staff, delegating tasks and providing clear instructions to ensure efficient and organized setup and teardown of event spaces.
  • Direct the setup of event spaces, including arranging tables, chairs, stages, audio-visual equipment, decorations, and other necessary elements according to diagrams and specifications.
  • Ensure that all setup elements meet quality standards and adhere to event design plans, making adjustments as necessary to ensure a visually appealing and functional event space.
  • Enforce safety protocols and regulations during setup and teardown activities, including proper handling of equipment, adherence to venue regulations, and emergency preparedness.
  • Anticipate and troubleshoot any issues that arise during setup, such as logistical challenges, equipment malfunctions, or last-minute changes, finding quick and effective solutions to minimize disruptions.
  • Maintain open communication with event planners, venue staff, and setup team members to ensure smooth coordination and execution of setup activities, providing updates and addressing concerns as needed.

Qualifications:

  • Previous experience in event setup and coordination, preferably in a leadership or supervisory role.
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with the ability to effectively lead and motivate a team.
  • Attention to detail and a commitment to quality, ensuring that all setup elements meet standards of excellence.
  • Problem-solving abilities and adaptability, with the capacity to handle unexpected challenges and changes with composure and creativity.
